Administration and Account Officer Job Vacncy - Rural Integrated Development Services, Nepal (RIDS-Nepal)

Rural Integrated Development Services, Nepal (RIDS-Nepal) is a Local, Not for Profit, Social Development Organization dedicated to improve people's overall quality and standard of life, through holistic, long-term, integrated rural community development programs.

RIDS-Nepal is seeking applications from qualified Nepali citizens for its Holistic Community Development Projects' position of an Administration and Account Officer to be deputed in its Lalitpur office with occasional field visits to Humla and Jumla.

Educational Description: Minimum Bachelor's degree in accounting/management/other relevant field.

Job Specification
- Minimum two years of relevant working experience in a similar position to carry out the administration and finance functions.
- Expected to have fluency in written and spoken English.
- Excellent working knowledge in MS Office Applications.
- Working knowledge in accounting and store management software will be an added advantage.

Job Description
KEY DUTIES AND RESPONSIBILITIES
1.    Accounting Functions:
- Prepare journal vouchers and post into ledgers on regular basis
- Supervise petty cash transactions of all offices
- Reconcile all bank accounts including check tracking systems on monthly basis
- Prepare and submit Monthly Financial Statements by the 7th day of following month
- Maintain and update subsidiary ledgers for all current assets and liabilities on monthly basis
- To ensure all transactions are adequately documented and have received required approval
- To ensure receivables and payables are settled in timely manner

2.    Salary and Benefits:
- Establish daily attendance system in all offices
-To ensure that employee leave records are maintained and updated on monthly basis
- To ensure that all employee prepare and submit their monthly time card
- To ensure that salary and benefits are paid to all employee in their bank accounts and details of payment are provided to the employee by the end of each month.
- To ensure that CIT and taxes are deposited in timely manner

3.    Procurement and Store Management Functions:
- To ensure that store ledgers of fixed assets, expendables and projects materials are maintained and up to date on monthly basis
- To conduct or assist in conducting procurement transactions for RIDS-Nepal
- To ensure that procurement transactions are carried out and adequately documented as per the procurement policies
- To ensure that goods requisitions, purchase orders, goods receipt notes, shipment form and order/contracts for goods & services are serially numbered, recorded in the store system and filed.
- To ensure that physical verification of all inventory are carried out on every six months
- Prepare and submit write off and disposal plan of inventory based on the result of physical verifications

4.    Administrative and others:
- Maintain and keep up to date records of all official files as defined by the management
To ensure timely transportation of project materials
- Maintain updated RIDS-Nepal contact database
- To ensure that administrative systems are functional in all offices of RIDS-Nepal
- Be proactive in dealing works related with accounting, procurement, store management and administrative functions of RIDS-Nepal.
- To be willing to and take leadership role as directed by RIDS-Nepal Management.
