Job Vacancy at IOM (International Organization for Migration)



Established in 1951, IOM is the leading inter-governmental organization in the field of migration and works closely with governmental, intergovernmental and non-governmental partners. With 122 member states, a further 18 states holding observer status and offices in over 100 countries, IOM is dedicated to promoting humane and orderly migration for the benefit of all. It does so by providing services and advice to governments and migrants.

The IOM Constitution recognizes the link between migration and economic, social and cultural development, as well as to the right of freedom of movement. The International Organization for Migration is seeking qualified Nepali Nationals for the following position based in Kathmandu.


Position Title: Senior Operations Assistant -1 position

Type of contract: Special, six months with possibility of extension

General functions:

Under the overall Supervision of the Senior Operations Officer and direct supervision of the National Operations Officer the incumbent is responsible for performing the work of the Senior Operations Assistant. The incumbent will have the below specific responsibilities.

Major Role and Responsibilities:

1. Perform day-to-day supervision of Operations team. Liaise with the airlines on block bookings and special bookings issues, such as medical cases. Assign pro flights to operations assistants.
2. Supervise receipt of travel documents from the respective resettlement countries agencies and ensure implementation of internal document controls, in particular handling, security, confidentiality of all original copies of travel documents in process. Perform quality control checks for completeness, accuracy, timeliness and conformance with established standards before distribution to users. Maintain record of travel documents.
3. Liaise daily with RSC Damak, on xMIFs and US travel packets, exit permits, medical forms and cases requiring medical escorts and timely prepare and forward to Damak Operations copies of travel documents as identified by the different programs.
4. Create and coordinate SIMA entries at all stages of USRP proflight processing with SIMA users.
5. Daily supervise and coordinate I-GATOR and follow up ticket refunds with airlines as necessary.
6. Communicate with the airlines on proflight related issues, name lists, booking details, domestic bookings, additions, deletions, refunds and follow up for timely escort bookings and respective reflection on ABN and other documents.
7. Ensure assignment and timely proflight updates in MiMOSA. Make airline booking and ensure timely distribution of Advance Booking Notifications, Transit Visa Waiver Requests, Additions and Deletions to the proflight, preparation and completion of transportation loans: promissory notes and Canadian warrants. Follow up on timely assignment of medical escorts to proflights and make escort bookings when necessary and include them on ABN and other respective documents.
8. Ensure timeliness of all proflight related correspondence with airlines, receiving missions and other related parties while maintaining proper quality checks are done by respective staff at all stages of movements.
9. Monitor proflight files, ensuring that all necessary documents are included in the file and the timely closure of files and handover to airlines accounts team.
10. Ensure all refugee travel bags for each proflight are prepared in good time and the timely distribution of travel documents/IOM bags to respective countries for regional movements.
11. Supervise shipment of travel documents to other IOM missions in the region.
12. Perform daily coordination with IOM medical and cultural orientation on movements’ related issues.
13. Daily liaise with finance on distribution of reports and proper reflection of costs related to refugee charter and international flights, as well as miscellaneous for various resettlement countries.
14. Liaise with IT staff and helpdesk to track down and resolve software and other technical problems of the system and ensure data, correspondence and documents security and safety in the unit at all stages of movement processing.
15. Ensure regular distribution of promnotes, warrants DFTTA copies to respective entities.
16. Keep updated proflight file, ensuring that all necessary documents are included in the file and prepare daily/weekly reports as requested.
17. Performs other duties as maybe assigned.

Desired Qualifications and Competencies:

Bachelor’s degree is required.
At least 6 years airlines or travel agency experience.
Strong practical computer skills, including Excel spreadsheet and Access database and experience of work with on-line applications. Ability to create and maintain statistical reports.
Proficiency in AMADEUS Computer Reservations System.
Strong knowledge of IOM resettlement and movements programs, movements IT applications: SIMA, MiMOSA, I-GATOR. Knowledge of MMM, HIT, IOM global airlines agreements.
Excellent interpersonal skills and ability to work effectively.
Ability to perform effectively in a culturally diverse work environment.
Excellent communication skills in Nepali and English (verbal and written).
